JOB TITLE: PRODUCTION COORDINATOR

1. Department Communication & Workflow

  • Acts as the central communication hub between all departments.

  • Distributes call sheets, production reports, schedules, maps, and essential information.

  • Ensures everyone has the latest updates and knows schedule changes.

2. Office Management

  • Runs the production office and keeps it organized, supplied, and functioning.

  • Manages office PA staff.

  • Oversees equipment such as printers, phones, radios, and computers.

3. Paperwork & Documentation

  • Tracks crew deal memos, start paperwork, timecards, and contracts.

  • Maintains vendor paperwork, certificates of insurance (COIs), and purchase order logs.

  • Organizes travel itineraries, releases, production reports, and distribution lists.

4. Scheduling & Logistics

  • Helps create and update shooting schedules and prep calendars with the AD and production team.

  • Books travel, hotels, cars, and handles per diem for cast and crew.

  • Coordinates arrivals, departures, and transportation logistics.

5. Vendor & Resource Management

  • Contacts rental houses, suppliers, and service companies.

  • Generates and tracks purchase orders.

  • Handles rentals, returns, deliveries, and shipping.

6. Budget Support

  • Tracks expenses, petty cash, fuel receipts, and invoices.

  • Helps the production manager monitor budget categories and spending.

7. Crew Support

  • Provides information and assistance to cast and crew throughout production.

  • Handles day-to-day questions, requests, and production needs.

  • Ensures crew has safety gear, radios, badges, and updated documents.

8. On-Set Support (as needed)

  • Communicates updates from set to office and vice versa.

  • Handles urgent runs, special deliveries, or last-minute logistics.

  • Manages background holding or sign-in sheets when overflow assistance is needed.

9. Travel & Housing Coordination

  • Books flights, hotels, and car rentals for traveling crew and cast.

  • Creates detailed travel memos with itinerary information.

  • Works with production accountants to reconcile travel costs.

10. Safety & Compliance

  • Helps distribute safety bulletins, protocols, and compliance documents.

  • Ensures production is following legal and union requirements.

  • Tracks worker comp reports or incident paperwork when needed.

11. Wrap Duties

  • Organizes wrap binders, files, and digital production archives.

  • Closes out purchase orders, returns rentals, and finalizes paperwork.

  • Helps shut down the office and prepare materials for post-production.
